What AI tools do you actually work with?
The honest answer is: whichever tools actually fit the workflow. We work across ChatGPT, Anthropic Claude, Google Gemini, Microsoft Copilot, Notion, Asana, Airtable, Monday, ClickUp, n8n, Make, and Zapier. We do not have vendor partnerships that bias our recommendations. We pick what works for your team, your budget, and your existing infrastructure.
We already have some AI tools. Can you work with what we have?
Yes — and that's usually where we start. Most companies already have more than they're using. We audit what you have, why adoption is low, and what is actually missing. Often the answer is a better workflow around the tools you already pay for.
How long does it take to see results?
The Pain Audit takes 3–4 weeks and ends with a clear picture of what to fix and in what order. Most clients see the first concrete changes within the first month of implementation. Full operational transformation takes 3–6 months. We promise a clear plan and someone who executes it.
What if my team is resistant to change?
That's normal — and it is part of what we design for. Resistance usually comes from fear of being replaced, lack of trust, or not knowing where to start. We've trained 700+ professionals across industries, and we stay involved until the new habits stick.
Do you train our team, or just set up the tools?
Both — and the order matters. Tools without training become shelfware. Training without fixing the process creates frustration. We fix the process first, then implement the tool, then train the team in the work they actually do.
We've tried AI before and it didn't stick. What's different this time?
Usually AI does not stick because it was pasted onto a broken process or nobody owned the rollout. We start with the process, not the tool, and stay involved long enough to make adoption real.
How does the engagement actually work — what does a typical week look like?
We start with a Pain Audit: structured conversations, a cost assessment, and a prioritised plan. If you engage us as a Fractional COO, we stay in regular contact through implementation, team check-ins, and weekly updates.
Is this confidential?
Completely. We sign an NDA before the audit begins, and everything you share stays with us. We do not share client information, train on your data, or reference your company without permission.
How do we know if this is working?
We define that together at the start. Before we touch anything, we agree on what working looks like — time saved, adoption rate, or a process that now takes hours instead of days. We measure it and adjust if needed.
Will I end up maintaining this myself after you leave?
That is a legitimate fear. We only implement what your team can own after we leave. We document in plain language, train the people who use it, and stay involved if you want ongoing oversight through a Fractional COO retainer.
Will this add even more tools to our already overwhelming stack?
Probably not. We start by auditing what you already have, because most companies underuse tools they already pay for. We try to consolidate, not accumulate.
Is our data safe? What about GDPR?
Data safety is non-negotiable. We only recommend tools that meet European data residency and privacy standards, and we map data flows before implementing anything. If you operate in a regulated sector, we flag the extra constraints upfront.
How much does this actually cost?
The Pain Audit is fixed-scope, so the price is agreed before we start. The Fractional COO retainer is a monthly commitment with clear hours and deliverables. We do not bill with open-ended surprises. The exact price depends on company size, complexity, and industry, and we discuss it on the first call.
AI makes mistakes. Who is responsible for the output?
AI makes mistakes, so we design workflows with human checkpoints. We do not automate decisions that require judgement. We automate repetitive, low-stakes tasks and build review steps into anything more critical.
